This Privacy Policy explains how Catanalysis LLC, operating as HireFrank ("HireFrank," "we," "us," or "our"), collects, uses, and shares personal information. It covers visitors to our website (hirefrank.ai), people who book calls or buy from us, our clients' staff, and the business contacts we research and email on behalf of our clients.

1. Who This Policy Covers

• Website visitors and prospective clients who browse our site, fill out forms, book a call, or complete our intake and checkout.
• Clients and their staff, including people our clients designate as email senders.
• Business contacts ("prospects") — people at companies that may be potential customers of our clients, whom we research and contact on our clients' behalf.

2. Information We Collect

From website visitors and prospective clients

• Form, booking, and intake information: name, email address, phone number, company, website, and answers about your business (such as capabilities, materials, certifications, target customers, and companies you do not want contacted).
• Payment information: payments are processed by Stripe. We receive confirmation of payment and related billing details, but we do not receive or store full card numbers.
• Terms acceptance records: when you accept our Client Service Terms at checkout, we record the name and email from your intake, the date and time, the version of the terms, the plan selected, your IP address, and your browser's user agent.
• Text message conversations: if you book a call, we may text you about it and keep the content of those messages.
• Analytics and log data: page views, clicks, navigation, IP address, browser and device type, and dates and times of visits, collected through cookies and similar technologies (see Section 6).

From clients

• Business information, campaign criteria, exclusion lists, and Designated Sender details (name, title, and, if provided, a profile photograph) that you provide for your campaign.

About prospects (business contacts)

• Professional contact information such as name, job title, employer, business email address, business phone number, business location, and professional profile information.
• Company information such as industry, size, location, and products or capabilities.
• Email interactions such as replies, opt-out requests, and whether a message was delivered or bounced.

We obtain prospect information from publicly available sources (such as company websites and professional profiles), from third-party business data and enrichment providers, and from our clients. We do not intentionally collect sensitive personal information about prospects.

3. How We Use Information

• To communicate with you, respond to inquiries, schedule and confirm calls, and assess whether our services fit your business.
• To set up and deliver our services, including building client campaigns and websites.
• To research prospects and send outbound business emails on behalf of our clients, promoting our clients' products and services, and to manage replies.
• To process payments, keep records of agreements and terms acceptance, and administer billing and guarantees.
• To honor opt-outs and maintain suppression lists so people who ask not to be contacted are not contacted again.
• To measure and improve our website, advertising, and services.
• To protect against fraud, abuse, and security threats, and to comply with legal obligations.

4. AI-Assisted Processing

We use AI-assisted tools, including services provided by third parties, to help research prospects, personalize outbound emails, draft messages, classify and summarize replies, and respond to text messages about scheduled calls. These tools process the information described above for these purposes. We do not use AI tools to make decisions that produce legal or similarly significant effects about individuals.

5. How We Share Information

We do not share personal information except as described here:

• With our clients: prospect information and email conversations from a client's campaign are shared with that client, so it can respond to interested prospects.
• With service providers who process information for us under our instructions, including:
  • Firebase / Google Cloud — website hosting, databases, and backend services
  • Google (Gemini) — AI processing
  • Calendly — call scheduling
  • Twilio — text messaging
  • Stripe — payment processing
  • PostHog — website analytics
  • Meta — advertising measurement (Meta Pixel)
  • Smartlead — outbound email sending and inbox management
  • Email and inbox providers, domain registrars, and business data and enrichment providers
• For legal reasons: when required by law, legal process, or to protect the rights, safety, and security of HireFrank, our clients, or others.
• In a business transfer: as part of a merger, acquisition, or sale of assets, subject to this policy.

Our use of the Meta Pixel lets Meta collect information about your activity on our website for measurement and ad targeting. For more information, see Meta's Privacy Policy.

6. Cookies and Tracking

Our website uses cookies and similar technologies:

• Analytics cookies (PostHog) help us understand how visitors use our site.
• Advertising cookies (Meta Pixel) help us measure our ads and show relevant content on other platforms.
• Local storage saves your intake answers in your browser so they are not lost if you reload the page.

You can control cookies through your browser settings. Disabling cookies may limit some features of our website.

7. If We Emailed You on Behalf of a Client

If you received a business email sent through HireFrank on behalf of one of our clients, you can stop future emails by using the opt-out option in the email or by replying and asking to be removed. We honor opt-out requests and keep a suppression record so you are not contacted again in that client's campaigns. You can also contact us at hello@hirefrank.ai to ask what information we hold about you, where it came from, or to request deletion.

8. Data Retention

We keep personal information only as long as reasonably needed for the purposes described in this policy, including providing services, keeping records of agreements and payments, resolving disputes, and meeting legal obligations. Opt-out and suppression records are kept so we can continue honoring those requests. When information is no longer needed, we delete or de-identify it, although copies may remain in routine backups for a limited time.

9. Data Security

We use reasonable administrative, technical, and organizational measures designed to protect personal information, such as access restrictions and encrypted connections. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Controlled technical data: our systems are not designed for ITAR-controlled technical data, Controlled Unclassified Information, classified information, or other restricted drawings and specifications. Please do not send that information to us. See our Client Service Terms.

10. Your Rights and Choices

Depending on where you live, you may have rights regarding your personal information, which may include the right to:

• Know about and access the personal information we hold about you;
• Correct inaccurate information;
• Delete your personal information;
• Opt out of marketing emails and text messages; and
• Opt out of certain uses, such as targeted advertising, where applicable law provides that right.

To make a request, email hello@hirefrank.ai. We may need to verify your identity before responding. We will not discriminate against you for exercising your rights. Where we process prospect information on behalf of a client, we may refer your request to that client or handle it with the client's cooperation.

You can stop text messages from us at any time by replying STOP.

11. Children

Our website and services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children.

We may update this policy from time to time. We will post the updated version on this page and change the "Last updated" date above.
